The Proven Guide to Choosing the Right Banner Size for Your Event


Choosing the right banner size helps people read your message quickly and ensures that the finished display fits the available space. The correct dimensions depend on where the banner will be used, how far away people will stand, and how much information needs to be included.

A banner for a registration desk has different requirements from a fence banner at an outdoor event. This guide explains the main options and the measurements to consider before ordering.

Start with the viewing distance

The most important measurement is the distance between the banner and the people who need to read it.

As a general guide, allow approximately 25mm of letter height for every 3 metres of viewing distance. This means:

  • At around 9 metres, main lettering should be approximately 75mm high.

  • At around 15 metres, main lettering should be approximately 125mm high.

  • At distances beyond 15 metres, a larger banner and simpler artwork may be required.

This is a guide rather than a fixed calculation. Letter shape, contrast, lighting and the amount of surrounding space will also affect readability.

A banner viewed by people walking past can include smaller supporting information. A banner viewed across a car park, sports field or festival area should use fewer words and larger lettering.

Measure the display area first

Measure the wall, fence, stage or other area where the banner will be installed. Check both the total width and the available height.

Avoid choosing a banner that fills every available centimetre. Leaving some space around the banner makes installation easier and prevents the display from appearing cramped. It also allows room for fixing points, fence posts and other equipment.

Before placing an order, check:

  • The total width of the wall or fence.

  • The available height.

  • The position of posts, rails and gates.

  • Whether the banner will be installed at eye level.

  • Whether the banner can be seen straight on or from an angle.

  • How it will be fixed securely.

  • Whether local venue or event rules limit the size of signage.

For many general event applications, a banner covering approximately half to two-thirds of the available width provides a clear display without overwhelming the space.

Common PVC banner sizes

PVC banners are suitable for event promotion, sponsor recognition, shop promotions, community announcements and outdoor displays. Millbrook PVC banners are made from strong 500gsm material and include hemming and eyelets for durability and installation.

This is suitable for smaller indoor displays, table fronts and close-range notices. It can work well where people will be standing within a few metres of the banner.

Keep the design simple at this size. A logo, short message and contact detail are more suitable than a full event schedule.

2ft × 6ft or approximately 0.6m × 1.8m

This size provides additional horizontal space while remaining suitable for smaller walls, railings and sponsor strips.

It can be used for short promotional messages or to identify different areas within an event venue.

3ft × 6ft or approximately 0.9m × 1.8m

A 3ft × 6ft banner is a useful general-purpose size for many indoor and outdoor events. It provides enough space for:

  • An event name.

  • A logo or sponsor logo.

  • A short description.

  • A date or location.

  • A website address or QR code.

It can be used on a fence, behind a small event stand, outside a shop or at a community venue. For outdoor use, readability will depend on the distance from the main audience.

4ft × 8ft or approximately 1.2m × 2.4m

This larger format is suitable for outdoor promotions, event entrances, fences and displays viewed from further away.

It provides more room for large lettering and clear spacing. It is also a practical option when several sponsor logos or a wider event design need to be included.

4ft × 10ft, 6ft × 12ft or larger

Large banners can be used for stage backgrounds, sports events, festival entrances and long fence lines. They are appropriate when the audience is spread over a large area.

Larger banners require careful planning. Check how they will be transported, where the eyelets will be fixed and whether the installation point can support the material in windy conditions. A mesh alternative may be more appropriate in some coastal environments.

When a roll-up stand is more suitable

A roll-up stand is designed for portable indoor displays. It is useful for conference entrances, reception areas, exhibitions, trade stands and presentations.

Millbrook roll-up stands measure 850mm wide by 2000mm high. The price includes the printed panel, cassette and case. The format is tall and narrow, so the layout should be planned differently from a horizontal PVC banner.

A roll-up stand usually works best with:

  • A clear headline near the top.

  • A logo in a prominent position.

  • One main image or graphic.

  • Three to five short points.

  • A website address, QR code or contact detail near the lower section.

Avoid using paragraphs of small text. People normally view a roll-up stand while walking past or standing nearby. The main message should be understood within a few seconds.

These sizes are starting points. The final choice should reflect the actual venue and artwork.

Keep the artwork readable

The banner size cannot compensate for a crowded design. A simple layout is easier to read, particularly outdoors or where people are moving.

Place the most important information in the largest type. This may be the event name, business name or main offer. Supporting information should be smaller but still readable at the intended viewing distance.

The following layout points are useful:

  • Use a strong contrast between the background and lettering.

  • Keep the main message short.

  • Leave clear space around logos and text.

  • Avoid placing important details directly beside the eyelets.

  • Use high-resolution images and vector logos where possible.

  • Check that QR codes are large enough to scan from the expected distance.

  • Keep contact details away from the bottom edge if the banner may be partly obscured.

A banner is normally read quickly. It should not be treated as a full information sheet.

Before ordering, confirm the following:

  1. Where will the banner be displayed?

  2. How far away will the main audience be?

  3. Is the display indoors or outdoors?

  4. What are the exact width and height limits?

  5. Does the design contain a short message or detailed information?

  6. Does the banner need to be portable?

  7. How will it be secured?

  8. Is the artwork supplied as a PDF in CMYK with 3mm bleed?

  9. Is the required turnaround compatible with the event date?

For a general outdoor event banner, 3ft × 6ft is a practical starting point. For a larger outdoor space or a more distant audience, consider 4ft × 8ft or larger. For portable indoor signage, the 850mm × 2000mm roll-up stand provides a standard format with the cassette and case included.
